Roles and client allocation
Use individual staff accounts. Assign the role and client access needed for the person’s responsibilities, then allocate work through clients and tasks. Do not use shared logins to make team administration easier.

Time follows the work context
Where time capture is enabled, keep time attached to the client/task being worked on. Correct obvious timing errors instead of leaving them to distort client profitability or staff utilisation.
Attendance and working patterns
Attendance is separate from the accounting record. It can show working patterns, attendance, leave and authorised adjustments without changing the client work itself.
Profitability and performance visibility
Client fees should be counted once. Staff contribution is measured through time, cost and work completed rather than multiplying the client fee across every person involved. Restrict staff-cost, fee and profitability views to authorised roles.
